01 Booking & deposits
A booking is confirmed once we receive your signed booking form (or written confirmation by email) and the required deposit. Unless otherwise stated on your quote, a deposit of 30% of the total trip cost is due at the time of booking, with the balance due 60 days before departure.
- Bookings made within 60 days of departure require full payment at the time of booking.
- A booking is only guaranteed once the deposit has cleared into our account.
- Prices quoted are per person unless stated otherwise, and are subject to change until a deposit is received.
02 Payment
We accept payment by bank transfer and major credit or debit cards; a processing fee may apply to card payments. All prices are quoted in US dollars unless stated otherwise. Any bank charges or transfer fees incurred in sending payment are the responsibility of the traveller.
If the outstanding balance is not received by the due date, we reserve the right to treat the booking as cancelled by the client, in which case the cancellation terms below apply.
03 Cancellations & refunds
Cancellations must be made in writing by email. Refunds of any monies paid, where applicable, are calculated from the date we receive written notice, as follows:
- 60 or more days before departure: deposit is non-refundable; remaining payments refunded in full.
- 30–59 days before departure: 50% of the total trip cost is refundable.
- 15–29 days before departure: 25% of the total trip cost is refundable.
- Less than 15 days before departure, or no-show: no refund.
04 Itinerary changes
We plan every itinerary carefully, but safaris and mountain climbs take place in a natural environment where conditions can change without notice. We reserve the right to amend an itinerary, route, or accommodation where necessary for safety, weather, road conditions, park regulations, or circumstances beyond our control, substituting comparable alternatives wherever possible.
If you wish to change your own booking — dates, itinerary, or traveller numbers — we will do our best to accommodate this, though changes made close to departure may incur additional costs from our suppliers.
05 Your responsibilities
It is your responsibility to ensure you hold a passport valid for at least six months beyond your travel dates, the correct visa for Tanzania, and any vaccination or health documentation required for entry. We are happy to advise, but final responsibility for meeting entry requirements rests with the traveller.
- Declare any pre-existing medical conditions, mobility limitations, or dietary requirements at the time of booking.
- Arrive at meeting points, airports, and camps at the times specified in your itinerary.
- Follow the reasonable safety instructions of your guide at all times, particularly around wildlife.
We reserve the right to remove any traveller from a trip, without refund, whose conduct or physical condition endangers the safety or enjoyment of the group.
06 Travel insurance
Comprehensive travel insurance is mandatory for every traveller, and proof of cover may be requested before departure. Your policy should include, at minimum, cover for medical treatment, emergency evacuation, trip cancellation or curtailment, and loss of personal belongings. For Kilimanjaro climbs, confirm your policy specifically covers trekking at high altitude.
07 Liability & assumption of risk
Safari and mountain travel in Tanzania involves inherent risks, including but not limited to encounters with wild animals, rough or remote terrain, altitude, and limited access to emergency medical care. By booking with us, you acknowledge and accept these risks as an inherent part of the experience.
Ranger's Trail Adventures acts as an agent for third-party suppliers — including camps, lodges, airlines, and park authorities — and our liability is limited to the services we directly provide and control. We are not liable for loss, injury, or damage arising from the acts or omissions of independent third-party suppliers, or from circumstances beyond our reasonable control.
Nothing in these terms excludes liability that cannot be excluded under Tanzanian law, including liability for death or personal injury caused by our proven negligence.
08 Force majeure
We are not liable for any failure to perform, or delay in performing, our obligations where this is caused by events beyond our reasonable control, including natural disasters, extreme weather, political instability, government action, epidemic or pandemic, or the closure of parks, airports, or borders. In such cases, we will work with you in good faith on rescheduling or alternative arrangements, subject to the policies of our third-party suppliers.
09 Complaints
If something during your trip falls short of expectations, please raise it with your guide or our office as soon as possible so we have the chance to resolve it while you are still travelling. If you remain unsatisfied after your trip, submit a written complaint to us within 28 days of your return, and we will respond within 14 days of receipt.
10 Privacy
We collect personal information — including passport details, health information, and payment details — solely to plan, book, and operate your trip, and to meet park, immigration, and airline requirements. We do not sell your data to third parties. Full details are set out in our Privacy Policy.
11 Governing law
These terms are governed by the laws of the United Republic of Tanzania. Any dispute arising from a booking with Ranger's Trail Adventures will be subject to the exclusive jurisdiction of the courts of Tanzania, unless otherwise required by applicable consumer protection law in your country of residence.
We may update these terms from time to time; the version in effect at the time of your booking will apply to that booking.
